Information we collect
When you submit an online request, we may collect contact details, property or association information, unit or address, requester role, request details, dates, preferences, acknowledgments, and files you choose to provide. Basic technical records such as time, browser information, and security logs may also be processed to operate and protect the site.
How information is used
We use information to identify the correct property and requester, route and respond to requests, coordinate managers or vendors, provide records or services, maintain operational history, protect the website, meet legal obligations, and reconcile approved work with AppFolio when needed.
Service providers and sharing
Information may be processed by website and storage providers, including Cloudflare; by AppFolio when a verified request belongs in the property record; by Google when optional Gemini assistance is active; and by CallMeBot when a time-sensitive case alert is sent to the on-duty property manager. CallMeBot alerts contain a case reference, broad issue category, and protected staff link rather than resident names, addresses, phone numbers, or uploaded media. Information may also be shared with appropriate boards, property owners, vendors, insurers, attorneys, title or real estate professionals, or public authorities when needed for the request or required by law. We do not sell personal information.
Nightshift Assistant and optional AI
If you choose to use Nightshift, Quinn & Wilson stores the conversation and resident media in protected systems and encrypts resident-directory and conversation data at rest. The page identifies whether it is using Quinn & Wilson’s private automated safety rules or Google Gemini. When Gemini visual review is available, known account details are redacted from the accompanying chat text before sending it to Google, but uploaded photos themselves cannot be reliably redacted automatically. Videos are saved for authorized staff review and are not automatically interpreted. Google states that free-tier Gemini API submissions may be used to improve its products. Do not upload faces, IDs, financial documents, passwords, medical information, or other sensitive content. Nightshift is optional; you may call the office or use the regular maintenance form instead.
Restricted information
Do not submit Social Security numbers, payment-card numbers, bank or routing numbers, passwords, medical diagnoses, or unredacted identification through public forms. Use the office to arrange an appropriate secure method when sensitive documentation is required.
Retention and security
We aim to retain information only as long as reasonably needed for property operations, contractual and legal duties, recordkeeping, dispute prevention, and security. Retention may vary by record type and governing requirements. No internet service can guarantee absolute security.
Website analytics
With your permission, QuinnAndWilson.com uses Google Analytics to understand visits to public pages, referral websites, and general interactions such as phone, email, Online Portal, and informational campaign clicks. These click events describe the type of action, not the phone number or email address. Page URLs are limited to known public paths without query strings or fragments. Private staff dashboards, case and voting pages, and after-hours chat pages are excluded. We do not send form contents, resident contact details, chat messages, or uploaded files to Analytics. Advertising storage, Google Signals, and automatic form and site-search measurement are disabled. You may decline analytics or withdraw permission through the “Analytics preferences” control in the footer. Withdrawing permission stops further tracking and removes Analytics cookies from this website. Google may process technical information under its own privacy terms.
Your choices
You may contact us to ask about information connected to you, request a correction, or ask whether a record can be deleted. Some records may need to be kept for contractual, legal, accounting, safety, or property-management purposes. You can also allow or decline optional website analytics at any time.
