HOA & condominium governance

A clear, fair, documented board election.

Use this center to understand the election workflow, prepare candidate information, and keep nominations, voting instructions, results, and the new-board transition organized.

Election roadmap

Six stages from planning to transition.

A consistent process protects participation, reduces confusion, and gives the association a record of what was sent, received, counted, certified, and handed off.

01

Verify the rules

Review the declaration, bylaws, election provisions, eligibility requirements, open positions, terms, notice rules, quorum, proxies, ballots, and any advice needed from association counsel.

02

Adopt the calendar

Work backward from the meeting or election date to set nomination, candidate-information, notice, ballot, proxy, voting, counting, challenge, and certification milestones.

03

Invite candidates

Give eligible people the same nomination instructions, deadline, requested statement format, publication rules, and contact for procedural questions.

04

Prepare the vote

Confirm the authorized voter list, delivery method, ballot or proxy controls, secrecy requirements, inspector or teller roles, and a documented custody process.

05

Count and certify

Follow the adopted process consistently, preserve the required record, document the certified outcome, and use counsel when a disputed or unusual issue requires legal interpretation.

06

Transition the board

Update roles, signatures, access, contacts, committee assignments, meeting calendars, training, and open-work ownership without exposing restricted records.

Who owns which decision?

Keep administration separate from authority.

Responsibilities vary by association. Confirm the role of the board, management, election inspectors or tellers, counsel, candidates, and owners before the process begins.

Board or authorized election body

Adopts and oversees the process

Confirms authority, dates, roles, election procedures, and decisions reserved to the association.

This is a nomination intake—not a ballot

Do not use this form to vote, submit a proxy, challenge a result, or send identification or financial information. Election-specific notices and governing documents control.

Step 1 · Candidate and property

Tell us who is seeking election.

We will use this information to identify the association, election, and eligibility review—not as proof that eligibility has been confirmed.

Board election questions

Know what this page does—and does not do.

Does submitting the candidate form place me on the ballot?

No. Submission creates a record for review. Eligibility, deadlines, nomination acceptance, and ballot placement must still be confirmed under the association's governing documents and adopted election procedures.

Can owners vote through this website?

Not through this candidate form. Voting must use the election method authorized for the association. Follow the official election notice for ballot, proxy, meeting, or electronic-voting instructions.

Who decides whether a candidate is eligible?

The decision must follow the association's governing documents, adopted procedures, and applicable law. The authorized election administrator, inspectors, board representatives, or counsel may have different roles depending on the association.

Will my candidate statement and photo be public?

The form asks for permission to share approved candidate materials with eligible voters for the relevant election. It does not authorize unrestricted public posting, and private contact or eligibility information should not be included in campaign materials.

What should I do if I want to challenge the process or result?

Do not use the candidate form. Preserve the relevant notice and records, contact the association through the authorized channel, and obtain independent legal advice when appropriate. Quinn & Wilson cannot provide personal legal advice.
